Introduction

Capwave AI Inc. (the “Company”) is committed to protecting user privacy through compliance with this policy. The policy covers information collected on their website (https://capwave.ai/) and related electronic communications.

The policy applies to data gathered:

  • On the Website
  • Via email, text, and electronic messages
  • Through third-party advertising and applications linking to this policy

It does not cover offline data collection or information gathered by third parties.

Information Collection

Google API Services

When you connect a Google account, Capwave requests only the following OAuth scopes:

  • openid, userinfo.email, userinfo.profile – to sign you in to Capwave.
  • calendar.readonly, calendar.events.readonly – to read your Google Calendar so Capwave can surface meeting and event context.
  • gmail.readonly – to read your Gmail so Capwave can analyze investor and fundraising communications.

We do not request write, send, or delete access.

Capwave’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or use it to train generalized AI models.

Data Protection and Security

Capwave treats Google user data – including Gmail message content and Google Calendar event data – as sensitive data, and protects it with the following measures:

  • Encryption: Google user data is encrypted in transit using TLS and encrypted at rest using AES-256.
  • Credentials: Capwave does not store your Google OAuth access or refresh tokens. Your authorization is held by our email infrastructure provider, Nylas, Inc., and Capwave stores only an opaque identifier that references it.
  • Access: Google user data is scoped to the organization that connected it and is not accessible to other customers. Internal access is limited to authorized personnel on a least-privilege basis, and system activity is logged and monitored.
  • Minimum scopes: We request read-only scopes only, limited to what the features described in this policy require. We do not request write, send, or delete access.
  • Sub-processors: Google user data is processed on our behalf by Nylas, Inc. (email and calendar connectivity), OpenAI (content analysis), and Amazon Web Services (hosting and storage), each bound to keep it confidential and use it solely to provide services to Capwave. We do not sell Google user data.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. To report a suspected security issue, email privacy@capwave.ai.

Data Retention and Deletion

What we store: When you connect a Google account, Capwave stores Gmail message content and attachments relevant to investor and fundraising activity, Google Calendar event details, and insights derived from them.

Retention: Google user data is retained for as long as it is needed to provide the features you authorized – that is, until you or your organization request its deletion, or until Capwave deletes your account. We do not apply a fixed expiration period to this data.

Stopping collection: You can end Capwave’s access at any time by disconnecting your email connection in Capwave’s settings, or by revoking access from your Google Account permissions page. This stops all further collection, but does not by itself erase data already collected. To have that data deleted, use the process below.

Deletion: To request deletion of the Google user data Capwave holds about you, email privacy@capwave.ai from the address associated with your account. We will delete the Gmail content, calendar events, stored attachments, and derived insights associated with your connection, and we will complete the request within 30 days. Where an email or calendar event was also received by another member of your organization through their own authorized connection, their copy is retained under their account until they request deletion.

Deleted data may persist in encrypted backups for up to 30 days before those backups expire. Capwave retains data beyond these periods only where required by law, and in that case retains only the minimum necessary and continues to protect it under this policy.

Use of AI Models

Capwave uses AI models to analyze content you provide – including Gmail and Calendar data you authorize – and to surface insights within the application.

We use OpenAI (GPT models) as a sub-processor. OpenAI processes Capwave data under its API Data Usage Policy, which does not use API inputs or outputs to train OpenAI’s models.

To request that your content not be used to improve Capwave’s AI features, email privacy@capwave.ai.
